To make a booking

Bookings can be made by the online booking form, email, or phone. The Administration Officer, Mike Cook, will answer calls personally between 7pm and 9pm most nights. The booking line has an answer phone for out-of-hours calls.

Bookings may be refused if there are bunk fees, subscriptions, or work-party levies outstanding.

Fees

These are per night during the winter season. Summer rates apply to both lodges. All fees are inclusive of GST.

Payment and confirmation

Bunk fees are payable in advance. No bookings will be confirmed until payment is received. This means that although bookings will generally be ranked on a first-come-first-served basis, any booking remaining unconfirmed after 9pm on the Monday preceding the trip will lose priority.

In the case of guests, whose booking can be confirmed only either one or four weeks before the trip (see below), members are responsible for ensuring that all bunk fees are paid promptly once the booking is confirmed.

Cancellations

Cancellations must be made to the administration officer a minimum of three full days before the trip begins, otherwise a cancellation charge is payable. The cancellation charge is 50% of the booking fee that would otherwise have been payable. (This means that, for example, if you're booked for Friday and Saturday night at the lodge, you must cancel your booking before 8pm on the preceding Tuesday if you don't want to incur the cancellation charge.)

Members who fail to cancel bookings, or who use only part of the period booked without informing the administration officer in advance, will normally be liable for the full bunk fees for the period booked.

Guests

Guests must be accompanied by a member, ordinarily, of course, the member making the booking. If space is available in the lodges, guests' bookings will be confirmed by phone after 9pm on the Monday preceding the trip, or in the case of mid-week trips outside the holiday periods, after 9pm on the Monday two weeks prior to the trip.

If space is available members may book any number of guests into the lodges. If however, there is competition for guest space once all the members having priority have been accommodated, the following rules apply:

  1. Bookings for up to 3 guests per adult member will be confirmed on a first-come-first-served basis.
  2. Once this has been done, any remaining space will be allocated, again on a first-come-first-served basis to any further guests members wish to book.

Youth members

Those members under 18 wishing to use the lodges must be accompanied by an Senior member, and may book guests into the lodge only through that member.

Preferential bookings

It has been agreed that members taking part in ski racing events or extended racing classes will be given limited booking priority. (Dates of races are usually given in the Club Newsletters). This priority will cease two weeks prior to the date of the event. If you are participating in a race or have booked a week's racing class, tell us when you book. Failure to do so may result in you booking being delayed or losing priority.

Accommodation

At Whakapapa there are four bunkrooms, each with two double and two single bunks, sleeping 24 in total. At Ohakune there are three bunkrooms, one room has two double and two single beds, the other two rooms each have one double bed and four single bunks, sleeping 18 in total. Each lodge has a collapsible cot which can be set up in the bunkroom. Children under 10 may be required to share a single bunk.

Trip leaders

Trip leaders will be appointed once bookings are confirmed on the Monday immediately prior to the trip. Every trip leader will be sent a detailed set of instructions prior to the trip. These are also available online. Trip leaders are appointed for each weekend, they allocate the bunks and lodge duties, and oversee the safe and comfortable operation of the lodge. Please contribute to this by checking your lodge duties and completing them on time.

Keys

If you use either lodge you must have a key. The one key fits both lodges. If you don't have one, please obtain one from the administration officer before the season starts. (Price: $20.00)

The door at Whakapapa Lodge also operates on a security code. This will change from time to time. Check with the administration officer for the code number.

Transport

The administration officer can help co-ordinate transport sharing if required. Members accepting lifts should contribute to the costs.
